Project Tracking

Track quotes by project and see competitive intelligence on each opportunity.

Project tracking is WellQuote’s unique feature for competitive intelligence. Link quotes to projects and see all bids for the same opportunity in one place.

What is a Project?

A project represents a specific opportunity, job, or tender. Examples:

  • “Johnson Warehouse HVAC Upgrade”
  • “City Hall Electrical Retrofit”
  • “ABC Manufacturing New Build”

When multiple suppliers quote on the same project, linking those quotes creates visibility across all bids.

Creating Projects

  1. Go to Projects in the sidebar
  2. Click New Project
  3. Enter project details:
    • Name: A descriptive title
    • Customer: Who’s requesting quotes
    • Location: Where the work will happen (optional)
    • Due Date: When quotes are due
    • Notes: Any additional context
  4. Click Save

Linking Quotes to Projects

When creating or editing a quote:

  1. Look for the Project field
  2. Search for an existing project or create a new one
  3. The quote is now linked

You can also link from the project page:

  1. Open a project
  2. Click Link Quote
  3. Select from your quotes

The Project Dashboard

When you open a project, you see:

Quote Summary

  • All quotes linked to this project
  • Status of each quote (draft, sent, accepted, etc.)
  • Total value of your quotes

Competitive Intelligence

If other suppliers have linked quotes to the same project:

  • See how many competing quotes exist
  • Compare your pricing position (high/low)
  • Track which quotes have been accepted

Note: Competitive data only appears when multiple organizations quote on the same project. Each organization only sees their own quote details plus aggregated competitor data.

How Competitive Tracking Works

  1. Supplier A creates a quote and links it to “Johnson Warehouse Project”
  2. Supplier B creates a quote and links it to the same project
  3. Both suppliers can now see:
    • Number of competing quotes
    • Whether they’re high or low on pricing
    • Status changes (e.g., “A competitor’s quote was accepted”)

Privacy is maintained:

  • You only see your own quote details
  • Competitor info is anonymized (Supplier A, B, C)
  • Pricing comparisons are relative, not absolute

Notifications

Get notified when:

  • A new quote is linked to your project (competitor activity)
  • A quote status changes
  • A project due date is approaching
  • Your quote is viewed by the customer

Tips for Project Success

  • Create projects early - Even before you start quoting
  • Use descriptive names - Include customer and location
  • Check competitive status - Before finalizing your pricing
  • Link all related quotes - Revisions and alternatives
  • Update status promptly - Keep your pipeline accurate
