You’ve signed up for WellQuote. Now what? This guide walks you through your first week, from initial setup to sending your first real quotes.
Day 1: Foundation
Morning: Account Setup

This is the most important step. Get your product catalog in first.
- Export from your current system — Excel, accounting software, or manufacturer price lists
- Clean up the data — Remove blank rows, fix obvious errors

- Verify a few products — Spot-check pricing and specs
Goal for Day 1: Your product catalog is imported and ready.
Day 2: First Quotes
Morning: Create Test Quotes
Before involving customers, practice with internal quotes:
- Create a test customer — Use “Test Company” or your own business
- Build a quote — Add products, adjust quantities, apply a discount
- Preview the PDF — Check it looks professional
- Try the customer portal — Open the shareable link in an incognito window
Afternoon: Send Your First Real Quote
Pick a low-stakes opportunity:
- Choose a real customer — Someone forgiving if there’s a hiccup
- Create their quote — Using real products and pricing
- Double-check everything — Names, prices, quantities
- Send it — Via portal link or PDF attachment
Goal for Day 2: One real quote sent to a real customer.
Day 3: Refine Your Workflow
Morning: Review and Adjust
Based on your first real quote:
- What took longest? — Finding products? Entering customer info?
- What was confusing? — Make notes for your team
- What’s missing? — Products to add? Customer fields to include?
Afternoon: Add More Products
Your initial import probably wasn’t complete. Add:
- Missing products — Items you needed but couldn’t find
- Product sets — Bundles you quote together (split systems, kits)
- Categories — Organize by product type or manufacturer
Goal for Day 3: Workflow feels smooth. Product catalog is 80%+ complete.
Day 4: Team Onboarding
Morning: Invite Your Team
- Add team members — Start with 1-2 people
- Assign roles — Admin, Manager, or Sales
- Brief them on the basics — 15-minute walkthrough
Afternoon: Supervised Practice
Have your team create quotes while you’re available:
- Watch them work — Note confusion points
- Answer questions — Real-time support
- Collect feedback — What do they like? What’s frustrating?
Goal for Day 4: Team can create quotes independently.
Day 5: Process Improvements
Morning: Set Up Approval Workflows
If you have discount authority levels:
- Define your rules — “Discounts over 15% need manager approval”

- Test the flow — Create a high-discount quote, approve it
Afternoon: Create Projects
If you’re bidding on specific opportunities:
- Create your first project — A real tender or job
- Link existing quotes — Connect quotes to the project
- Review the dashboard — See all quotes in one place

By the end of your first week, you should have:
- Organization profile complete (logo, address, terms)
- Product catalog imported (80%+ of products)
- At least 5 real quotes sent
- Team members added and trained
